Master the crucial aspects of shipping and logistics to ensure seamless machine delivery and installation.

Shipping & Logistics: Smooth Delivery Execution

Send the Machine Directly to the Location

You do not need a truck or pallet jack. Always have the machine delivered straight to the customer location—not your home or garage. The vendor (e.g., Vendhub or Micromart) will hire a third-party freight company for delivery.

Stay on Top of Communication Chains

Machine vendors and freight carriers often don’t sync well.

Follow up consistently with the machine vendor for shipment updates and handoff details. Once the freight company is involved, ask for a pre-shipment checklist and confirm:

  • Delivery date

  • Access logistics

  • Doorway clearance

  • Equipment dimensions

Freight Timing and Day-of Delivery Tips

You won’t have control over the freight carrier, but you can influence the delivery schedule. Ask to be the first stop of the day if possible.

Bring:

  • Box cutters (to remove plastic/cardboard wrap)

  • Cash to tip the driver or request extra help

  • Clear directions on where the machine should be placed

Onsite Setup Essentials

Once the machine is unboxed:

  • Ensure it’s placed a few inches from the wall for airflow

  • Level the machine to avoid vibration and ensure stability

  • Plug it in immediately so cooling can begin—don’t wait to "let it sit"

Final Reminder

This is the logistics playbook Mike wishes he had during his first install. Stay hands-on, communicate clearly, and prep the delivery site ahead of time to ensure a smooth, professional setup.

Complete the following exercises:

1. Reflect on a recent experience you had with receiving a large delivery. What steps did you take to ensure everything went smoothly? How might you apply the strategies discussed here to improve future deliveries? Consider aspects such as communication with the vendor and preparation for the delivery day.

2. Imagine you are coordinating the delivery of a new machine for your company. Draft a checklist that includes critical steps such as verifying doorway sizes, preparing the site for installation, and communicating with the delivery team. How can this checklist help prevent common pitfalls in the logistics process?
